2008 Deadlines for Grant Letters of Inquiry Packets:
Friday, February 1st, Friday, May 30th, and Wednesday, October 1st
Grant Letters of Inquiry Packets must ARRIVE AT Tourism Cares’ OFFICE NO LATER THAN 5 PM EST ON OR BEFORE these deadline dates.
If your organization has a project or program that you feel fits Tourism Cares’ Grant Funding Goals and Preferences, we encourage you to submit a Grant Letter of Inquiry Packet by mail to the address below for consideration in that cycle. Only ONE hard copy each of the following items must be included in ONE PACKET:
1. Grant Letter of Inquiry, including elements outlined below
2. Copy of official IRS 501(c)(3) determination letter(or equivalent proof for
non-U. S. organizations) of the non-profit, tax-exempt status if your
organization (details presented below)
3. Completed 2008 Tourism Cares Grant Funding Application Form to Accompany Grant Letter of Inquiry
Please do not staple items or put them in binders. We cannot accept elements that arrive via e-mail or fax, or under separate cover.

Grant Letter of Inquiry
Tourism Cares requires three pages (a two-page Letter of Inquiry with a third separate Addendum page for the budget information) all presented double spaced in size 12 font. All of the items detailed below must be included in the three pages in order to be considered:
- The first two pages must restate numbers 1 through 4 and the bold header following each number (naming the applicable required element). Then provide the specific information requested for each.
- A third and separate page marked "Addendum" must present the project or program budget and narrative; do NOT include the budget in the two-page letter of inquiry.
Pages 1 and 2, Items 1 through 4 below:
1. Grant Identifying Information: State the specific deadline for Grant Letters of Inquiry Packets for which you are applying, name of project or program with amount of funds requested (in U. S. dollars), name of your organization, contact person and his/her phone with extension, and e-mail.
2. Organization and Mission: Describe your organization and its mission.
3. Project Description: Describe the project or program for which you are requesting funding. Be sure to explain why the site is of exceptional significance. Include purpose, history, status (established and ongoing, recently initiated, or proposed), time frame for use of requested funds, and relationship to tourism.
4. Proposed Project Outcomes and Evaluation Measures: Summarize the proposed outcomes of a successful project or program with criteria for how success will be measured. (One paragraph should be sufficient as further detail will be requested if you are invited to submit a full proposal.)
Page 3. Project Budget and Explanatory Narrative: Restate the name of your organization and project name. Present a simple line item project or program budget (in U. S. dollars) showing how you would use the 'Amount of US Funds Requested' (the specific amount you included on the Information Form to Accompany Grant Letter of Inquiry). That is the specific project funds you are requesting from Tourism Cares, were you to receive the funds, including revenues and expenses related to the project. You must include a narrative paragraph explaining this simple budget.

Proof from the IRS of Your Organization’s
Non-profit,Tax-exempt 501(c)(3) Status
Your Grant Letter of Inquiry Packet must also include an Internal Revenue Service letter of determination of 501(c)(3) status as proof your organization is a non-profit, tax-exempt, public charity. (For non-U. S. organizations, the equivalent proof from your country’s official taxing authority is acceptable. Also, if your equivalent proof is not in English, we require a notarized English translation.) Note: The name of the organization requesting the grant funding should match the name of the organization on the IRS 501(c)(3) determination letter. Also, Articles of Incorporation or Employee Identification Number are not acceptable forms of proof of your organization’s IRS 501(c)(3) status.

Information Form to Accompany Grant Letter of Inquiry
Finally, your Grant Letter of Inquiry Packet must include a completed Information Form to Accompany Grant Letter of Inquiry. We prefer you download the Word document,fill it out electronically, and then print it out to submit the hard copy. (Note:If you fill out the form by hand, please print clearly.)
